The broker needs something more useful: the yacht that caught the buyer’s attention, a way to contact them and enough context to start a conversation. Between those two views, an enquiry can lose its meaning.
Consider the following planning scenario. It is an example of a workflow to design, rather than a report of results from a client campaign.
A form submission meets a busy brokerage office
A dealer is promoting a particular model. The form reaches an inbox that several people share. One person assumes another has replied. A broker eventually calls, but cannot see which advertisement the buyer saw. Meanwhile, the campaign report treats the submission as complete.
The first improvement is to decide who owns the enquiry. Record the source, campaign, model or listing reference, submission time and assigned person. Keep the buyer’s own message separate from the team’s interpretation. If the same person submits twice, preserve the new context without creating two unrelated sales histories.
Design the handover before launching the next ad
A useful handover has a visible next action. “New enquiry” describes a state; “Broker to confirm the requested model and arrange a conversation” describes work. The team should know how reassignment works when somebody is unavailable and where an unanswered enquiry appears.
For an integration project, test the complete journey with a test submission: field mapping, record creation, assignment, notification and the broker’s response. Also test what the staff sees when the connection fails. A technical success message is insufficient if nobody can find the record in the sales system.
Meta’s official training on CRM integration describes connecting CRM data with its advertising tools. Whether that is suitable depends on the integration, permissions and measurement scope. It still requires a sales process that records meaningful outcomes.
The campaign review needs the sales team
Use a few outcomes that staff can apply consistently. Was the contact reached? Was the enquiry relevant to the advertised offer? Was a viewing or further discussion requested? Avoid turning every conversation into a long reporting exercise. A short, consistently completed record is more useful than an ambitious form that remains empty.
A campaign can generate interest in a different model, service or price range from the one expected. Record that distinction. It can reveal a mismatch between the creative, offer and available inventory, rather than simply a problem with the number of leads.
Review the original campaign and subsequent outcomes over an agreed period. An enquiry received yesterday has had less time to develop than one received weeks ago. Compare like with like before deciding which message to repeat.
