17 January 2026A spreadsheet is often a sensible place to begin. Everyone recognises the rows, a new column takes a moment to add and a small inventory can be reviewed at a glance. Replacing it simply because it looks ordinary is not a convincing software brief.
The question changes when several people depend on it. Who has the latest file? Does a note explain what happened, or does its meaning depend on the person who wrote it? Can a broker update a vessel without accidentally changing information another colleague needs?
Look at the work around the sheet
The warning signs often sit outside the spreadsheet. Someone checks an inbox to understand a buyer’s last request. Someone else opens a brochure to recover a specification. A third person messages the team to find out who owns the enquiry. The file may still be tidy while the workflow is fragmented.
Before buying or commissioning another system, follow one enquiry from arrival to follow-up. Note every place the information is copied and every question that needs a colleague’s answer. This gives the team evidence about the problem it wants to solve.
A database alone will not repair the handover
Moving the same unclear notes into a CRM does not make them clearer. A custom system needs agreed responsibilities, meaningful statuses and a distinction between a contact, a yacht and a sales opportunity. The forms should support those decisions, not substitute for them.
A brokerage may keep a spreadsheet for a limited task while moving enquiry ownership and buyer history into a shared application. A complete replacement is not the only possible outcome. Choose the boundary according to the work, and make any remaining transfer of data explicit.
Try this before deciding
Ask a colleague who did not handle the original enquiry to pick up a returning buyer’s conversation. Can they identify the yachts discussed, the last agreed action and the responsible broker without asking for a private explanation? If they can, the current process may still be doing its job. If they cannot, you have a concrete requirement for improvement.
