3 October 2026Imagine a buyer who first contacted your brokerage in spring. They were looking for a family yacht, had a rough budget and wanted to arrange a viewing after the summer. Several boats were discussed. Then the conversation went quiet.
In autumn, they call again. A different broker answers. The buyer now has a shorter shortlist and wants to move quickly. Before suggesting a boat, the broker needs to know what was already discussed, what changed and which promises the team made.
This is an illustrative situation, but it captures a useful question for any yacht CRM project. Can the team continue a conversation without rebuilding it from scattered emails and someone else’s memory?
The conversation belongs with the buyer
A contact record is more useful when it explains the relationship, not just how to reach the person. The buyer’s preferred vessel type, intended use, previous enquiries and next agreed action all provide context. A broker should be able to distinguish something the buyer confirmed from an assumption that still needs checking.
That record also needs links to the yachts discussed. A single buyer may consider several boats, and the same boat may attract several buyers. Treating every enquiry as an unrelated row makes it harder to follow those relationships. Separating contacts, vessel records and sales opportunities gives each piece of information a clear place.
A handover should leave a usable next step
“Follow up later” tells the next broker very little. “Confirm whether a viewing is possible next week” is an action someone can carry out. A CRM can support assigned responsibility and follow-up dates, but the team still needs to agree on how those fields are used.
The same applies to sales stages. A stage should describe something that happened or something the team is waiting for. Viewing requested, viewing confirmed and offer under discussion have different meanings. Choose the distinctions your brokerage actually needs; extra stages are not automatically better.
At the handover, the receiving broker should see the relevant conversation and current vessel information. They should not have to read every internal discussion or access records unrelated to their role. Define those boundaries when scoping the system.
Start with one returning buyer
Rather than reviewing a CRM through its feature menu, walk through the example at the start of this article. Find the buyer, open the yachts they considered, check the last conversation and assign the next action. Then ask what happens when the responsible broker is away or the yacht is no longer available.
