27 June 2026A buyer suggests Friday afternoon. A broker puts it in the calendar. That still leaves several questions open: is the yacht available for a visit, has the time been confirmed, and does the person arranging access know?
The appointment and the underlying request should be connected. A calendar entry is useful for time. The opportunity record is useful for the continuing conversation.

These labels are examples. Use the language your staff understand. The important distinction is between a requested time and a confirmed appointment. A buyer should not receive a confirmation message merely because someone saved a tentative calendar event.
Make the dependencies visible
Keep the buyer, the yacht and the responsible broker connected. Add the relevant approved instructions for the visit. Private contact details or internal commentary should not be copied indiscriminately into the message sent to the buyer.
If the visit is moved, update the connected arrangements and record the new next action. The brokerage may use an external calendar, an internal schedule or both. The project needs a clear rule about which record controls the appointment status.
Close the loop after the viewing
A completed appointment can lead to a request for specifications, another viewing or a different shortlist. The CRM should make that continuation easy to record. Marking the calendar event complete does not describe the sales outcome.
Walk through a rescheduled viewing when reviewing custom software. It is a better test of the relationships than an appointment that never changes.
