8 February 2026Imagine a brokerage opening a second office. Both teams can receive enquiries about the same inventory. A buyer might first speak to one office and later arrange a viewing through the other. The business still wants that to feel like one conversation.
This example does not call for a separate system at every location. It calls for a clear model of shared information and local responsibility. Those decisions should be made before the new office inherits a copy of the old spreadsheet.
Shared inventory needs a clear owner
If both offices work with the same yacht records, agree on who can correct specifications and approve public changes. A local team may need to arrange viewings without being responsible for publishing the listing. Giving everyone every editing permission is an easy shortcut with consequences for data quality.
Office-specific details can still be useful. Location, viewing arrangements and the responsible team may differ from the information describing the yacht itself. Keep those concepts separate so that a local change does not create a second, conflicting vessel record.
Enquiries need a route across offices
Define what determines the initial assignment. It might be the listing, an existing buyer relationship or a central coordinator. Then describe how a handover is accepted and where the next action appears. A reassigned record should not disappear between two teams’ dashboards.
Test the returning-buyer example with a colleague from the other office. Can they find the relevant conversation and current boat information? Can they see enough to act without receiving private notes unrelated to their role?
Review the views each team needs
A broker may want open opportunities assigned to them. An office coordinator may want unassigned enquiries and upcoming viewings. A manager may need a view across locations. Start with those uses before deciding on a large reporting screen.
