If each enquiry becomes a new contact record, the brokerage loses the thread. Three boats can look like three unrelated prospects even though one person is making a decision.
Keep the person and the opportunity distinct
A useful record structure gives the contact its own identity and connects it to the relevant vessel enquiries. The contact holds the continuing relationship. Each opportunity records a particular discussion, its status and the next action.
This makes it possible to close an enquiry about one yacht without erasing the buyer’s wider interest. It also gives a different broker a clearer starting point when the buyer returns.
A shortlist is a working document
The team should be able to understand why a yacht was added or removed. Was it outside the preferred size range? Was the viewing inconvenient? Did the buyer decide that another layout suited them better? Record relevant, confirmed preferences rather than accumulating guesses about the person.
A client selection can draw on the yachts currently being considered. If a PDF is part of that process, it should use approved vessel information while leaving the broker’s private notes out. A shortlist in the CRM and a document sent to the buyer serve related but different purposes.
Use the structure to make the next conversation easier
The test is straightforward. Open the buyer record and ask a colleague to explain which yachts remain relevant and what needs to happen next. If they must read every message in sequence to work that out, the team may need better summaries and clearer relationships.
