16 March 2026A brochure template can look excellent with a carefully chosen demonstration yacht. Then a real listing arrives with a long equipment section, extra explanatory notes and a model name that uses two lines. The same layout suddenly becomes difficult to read.
Variable content is part of document generation. It deserves design rules of its own, rather than a manual repair each time the text is longer than expected.
Start with the awkward examples
Collect a short listing, a long listing and one with missing optional specifications. Use all three while reviewing the template. Look for headings stranded at the bottom of a page, labels separated from their values and a final page containing only a few lines.
The equipment content should also have a useful structure. A single long paragraph is harder to lay out and scan than information grouped under meaningful section names. Agree on the grouping with the team maintaining the listing.
Choose what can grow and what should stay together
A description may need to continue onto another page. A short specification group may be clearer when kept together. A contact area should remain easy to find. These choices affect the template and should be checked using generated documents, not only a static design file.
Do not solve every overflow by shrinking the text. The reader still needs a comfortable document. Consider whether a long equipment list belongs in a detailed version while a short client selection uses a smaller set of comparison fields.
Empty content needs a layout rule too
If an optional section has no approved information, decide whether it disappears or displays an agreed message. Leaving a large gap to preserve a demonstration layout usually makes the missing content more distracting.
A good acceptance test includes the difficult records and a review of the resulting page breaks. The visual design and PDF generation workflow need to be reviewed together. Ask for a sample generated from your longest real listing before approving the template.
