28 March 2026The asking price changes. The listing record is corrected, the website displays the approved value and the next brochure is generated from the new data. An older PDF remains in a client’s download folder.
This is ordinary document behaviour, not a failure of the listing database. A static PDF is a snapshot of the information used to create it. The workflow needs to account for that boundary.
Make the version identifiable
A generation date or an agreed document identifier can help the team recognise a copy. Decide what should be visible to the reader and what the system should retain internally about the source record. The label should make sense to the people using the document.
Avoid a filename that only makes sense to its creator. If several brokers share documents, they need a dependable way to find the current version without relying on someone’s memory.
Define when a replacement is needed
A minor wording correction and a change to price or availability may need different handling. The brokerage should decide which changes require a regenerated document and whether relevant client conversations need attention. Software can support the process once those rules are agreed.
Keep the new document connected to the approved record. Reopening a downloaded file and editing it separately can recreate the duplicate-source problem that the generation workflow was intended to reduce.
Give the reader a route to current information
Where appropriate, include a link to the current listing and a clear contact route. That does not make an old PDF current, but it gives the buyer a way to check details and continue the conversation. Use wording that reflects the brokerage’s actual publication policy.
When reviewing custom brochure software, ask to see a document generated before and after an approved change. Then find both copies as a broker would. A clear result is more useful than an abstract promise that documents will always be up to date.
